Dealership lead follow-up checklist for a CRM rollout

A follow-up process needs a responsible person, verified contact route and next action that fits the record. Establish those rules before activating sequences.

Create a record standard

Define the minimum information: source, receipt time, vehicle interest where supplied, owner and next action. Keep the original enquiry accessible so later notes do not replace what the customer requested. Distinguish verified information from assumptions entered by staff and make corrections traceable.

Choose how duplicates are reviewed. A repeated enquiry may continue an existing conversation rather than create a new opportunity. Preserve useful history and record why a merge or reassignment occurred. Test the rule on a limited sample before making widespread changes to live records.

Make the action explicit

Give each action an owner and due time: clarify an appointment, confirm a vehicle question with the relevant team or resolve missing information. A label such as interested is not a task. Managers need to see what is blocked and who can resolve it.

Pipedrive can be considered for organizing sales-pipeline activity, and its automotive material describes that use case. Assess it against documented steps. General functionality does not establish a working connection to your inventory, dealer management system or specific lead provider. Ask for a demonstration with synthetic records.

Check contact rules

Review the preferred route and dealership communication policy. An enquiry is not a reason to activate every channel. Staff should know how to record a changed preference and stop planned contact when the context no longer fits. Keep meaningful updates visible to the next owner.

During the pilot, use synthetic contacts. Inspect message wording, sending account and whether a reply or appointment stops the next action. Keep human review for ambiguous records. Do not enable outreach merely because a demonstration makes it convenient; verify the operating rule and authorized channel first.

Review and hand over

Create a daily view for unassigned enquiries, overdue actions and failed imports. Agree who checks it and who covers absence. Reconcile a sample against original sources: a quiet dashboard is not proof every record arrived. Keep a short written response for an interrupted import.

After the pilot, compare completeness and handling effort with the starting sample. Document the accepted workflow and rollback before expansion. Submit DealerRite’s existing enquiry form with current systems and the principal follow-up problem for a scoped review. Keep customer personal information out of initial examples.

Recheck after change

Repeat the sample reconciliation when a source form, provider or assignment rule changes. Keep the expected field mapping with the handover documentation. A configuration that worked during launch can later drift, so the operating owner needs a simple check that exposes missing records before the daily queue becomes misleading.
