Dealership CRM selection: ownership and integration checks

The first question is whether each legitimate enquiry reaches an owner with a useful next action. A platform change should solve a documented operating problem.

Audit the current journey

Follow a small sample from enquiry to assignment, first action, appointment and final disposition. Check duplicates and records changing owner. Record where information disappeared or the next step became unclear. Preserve meaningful history rather than deleting old records to make the dashboard appear cleaner.

Separate missing rules from missing features. If staff disagree about ownership, a replacement CRM will not settle that decision. Establish assignment, handoff and reassignment rules first. Include a manager’s review of records without a next action, and define what counts as resolved.

Check whether a general CRM fits

Pipedrive publishes an automotive CRM use case for dealerships, brokers and sales teams. That supports consideration for a sales-pipeline evaluation; it does not prove replacement of a dealer management system. Validate the actual record sources, fields and supported connections required.

List which incumbent systems remain authoritative for inventory, documents and completed deals. Ask vendors to demonstrate the connection rather than point to a logo directory. Confirm responsibility for support and what happens when a vehicle, owner or enquiry changes in one system but not another.

Demonstrate the handoff

Use a synthetic buyer enquiry with vehicle interest, preferred contact route and next action. Have one person receive it, another take over and a manager review the history. Submit a duplicate and check that original context survives. Include a failed import so staff can see how it is detected.

Test appointment changes and a buyer no longer interested. The CRM should support a clear disposition without automatically turning every inactive record into a messaging sequence. Communication preferences, permissions and dealership policy still require review before staff contact anyone.

Plan the rollout

Include users, add-ons, integration work, cleanup, training and ongoing administration in the estimate. Ask what data exports contain and how ownership and history are represented. Define the cutoff, reconciliation and rollback process before switching live sources. Keep a responsible person available during the transition.

Send DealerRite the enquiry sources, current tools and a non-sensitive broken-handoff example through the existing form. This starts a workflow discussion; it is not a credit application, vehicle purchase or authorization to message leads. The scope of any implementation must be agreed separately.

Protect the original context

During migration, reconcile a sample of imported records against the old system. Check timestamps, notes, owners and source details rather than counting rows alone. Decide which history remains read-only and how staff will reach it when answering a question about an earlier conversation or appointment.
